AI Rejections: what are they and what to do?

It is the first filter or review made automatically by our platform at the moment of making a submission.

AI (Artificial Intelligence) is the technology used by Visage to preliminarily evaluate the profiles sent by a sourcer.

Only when your candidate profile is approved by our AI means that you made a valid submission. It is important to note that an AI-approved profile does not guarantee or imply that it will be approved by the client.

If your candidate profile is not approved by the AI is considered an AI Rejection. This means that the candidate you try to upload lacks some of the fundamental requirements of the role, like the correct job title, location, years of experience, or email address. When this happens, you will get an error saying "cannot upload", and will give you one of the reasons listed below.

At Visage, we classify AI rejections into two main types.

Can be manually reversed

These AI rejections can be reverted by the support team. You only have to request it on the Visage Sourcing Community in Workplace. They will review the case and notify you of the decision

If you are a Trial Sourcer, you should contact our Talent Hunting team for support.

  1. This candidate was disqualified automatically - Profile Location doesn’t match the required location constraints: this means that your candidate is outside the required location in the role or that when manually entering the candidate's location you typed in the wrong one. For example, you select London, but the job is in Manchester. We recommend that you always check that the candidates you are submitting are in the location listed in the "Locations to source from" section of the app. Regardless of whether the working mode mentions other locations or that the job is remote.

  2. Profile recent experience doesn’t fall within this job role or domain (e.g. sales instead of marketing or driver instead of diver): this happens when the AI does not recognize the candidate's current Job Title as related to the role you are currently working on. Either because of a typo in the Job Title or because the Job Title itself is unusual for the position or job area.

  3. Profile total years of experience don’t match the required total years of experience: Candidate has MORE than the MAXIMUM required years of experience / Candidate has LESS than the MINIMUM required years of experience If you submit a profile that has more or less than the years of experience shown on the platform. For example, if you try to upload someone with 13 years of experience when the maximum of the role is 10 or someone with 1 year of experience when the minimum is 3, one of these errors will appear. Keep in mind that the AI considers all the experiences in the profile. So if your candidate has many internships, or experiences irrelevant to the job, they are still considered and could cause the AI to disqualify the profile for exceeding the maximum YoE. If you think this happened with your candidate you can contact support and ask for a review.

    However, we recommend that you always stick as closely as possible to the years of experience indicated in the Work experience section of the app to prevent this type of AI rejection.

Related to the AI rejections that can be manually reversed, there might be instances when the support team will decline to approve your profile if they consider it necessary.

Cannot be reversed

These AI Rejections are the ones that cannot be reconsidered or approved by the support team. If you submit a candidate and get one of these errors, unfortunately, there is nothing to do about it.

If you are a Trial Sourcer these AI rejections do not apply, and you should not see them appear.

  1. Too Many profiles from the same domain have already been submitted. This means you have submitted more than two candidates with the same corporate or college email address to the same batch. For example, more than two with @facebook.com or @amazon.com. So, always keep in mind, that if you find more than two suitable candidates currently working for the same company, be careful with the email addresses. For this reason, we ask you to focus on personal email addresses as much as possible.

  2. Profile matches one of the blacklisted companies domains for this job. This means you have tried submitting a candidate that is currently working in a company that is blacklisted. Many of our clients add companies to the “Companies not to source from” section because those companies are associated with them, are their clients, or are under some kind of agreement. Therefore, you should avoid sending candidates currently working for those companies.

  3. This candidate was disqualified automatically - Profile doesn’t want to be contacted. This happens when the candidate you want to submit has said in the past that they do not want to be contacted by Visage or its clients. This information is collected in our database to avoid other sourcers uploading the profile to the platform and the client ending up contacting someone who does not want to be contacted.

  4. This candidate was disqualified automatically - Candidate was recently sourced on another job from the same company. This may occur in rare cases when a Visage client posts multiple jobs with very similar requirements in a short span of time. It implies that either you or another member of the Visage sourcing community has already submitted the same candidate to another job of the same client in the past 6 months.

  5. This candidate was disqualified automatically - Profile had already been submitted for this job. This is probably one of the most common errors that sourcers encounter. And it means that that candidate has already been put forward for the job by you or another sourcer. This is why we recommend you download the Visage Chrome Extension once you get into our community to try to reduce this error as much as possible.

How does this affect me?

None of the AI rejections will affect your performance or any other metrics. The only thing that would be affected by this is your time and resources this is why we ask you to double-check all the information in the app, your search, and your candidates so you can avoid AI rejections as much as possible.
